They are looking for a highly trustworthy, high-performing support specialist who can streamline financial operations and protect the founder’s time by owning executive administrative workflows and critical weekly reporting.

Job Description

Working Schedule:

M-F | 8:00am to 4:00pm

We’re seeking a proactive, detail-oriented Executive Assistant with Light Bookkeeping Support to work directly with the firm’s Principal. This role will focus on delivering exceptional executive support, managing day-to-day operations, and maintaining flawless financial administration. You’ll be responsible for handling complex scheduling, categorizing expenses in QuickBooks, staging sensitive wire transfers, and supporting the founder in protecting his time and energy.

key Responsibilities

  • Manage complex calendars for the Principal and his partner, proactively scheduling meetings and coordinating calls with zero calendar conflicts.
  • Set up and stage wire transfers across 18 bank accounts based on exact amounts and instructions provided by the Principal (who executes final approval), ensuring zero errors.
  • Deliver a weekly cash balance report covering all 18 accounts, flagging significant movements or anomalies without prompting.
  • Conduct weekly expense reviews, categorizing transactions in QuickBooks, identifying redundant auto-pay items, and preparing clean data for the external CPA.
  • Triage emails and manage the inbox (Outlook) to prioritize founder and eventual client communications.
  • Book flights and manage end-to-end travel logistics.
  • Audit and optimize corporate credit card usage, identifying better card strategies and tracking point accumulation across the firm.

Requirements

  • 2+ years of experience as an Executive Assistant, Operations Coordinator, or in administrative roles.
  • Solid foundation in light bookkeeping, accounts payable/receivable, or expense categorization.
  • Strong written and spoken English; confident communicator with clients and external parties (clear communication is non-negotiable).
  • Experience with Microsoft Outlook and QuickBooks Online.
  • Highly organized with extreme attention to detail, capable of tracking 18 accounts without dropping threads.
  • High integrity, discretion, and trustworthiness to handle sensitive financial information.
  • Self-starter who takes extreme pride in remote work and operates independently with minimal micromanagement.
