Job Description

Working Schedule:

M-F | 8:00am to 4:00pm (EST time)

The Purchasing Assistant is an entry level role that is primarily responsible for assisting the purchasing team with daily tasks for e-commerce webstores to ensure the needs of the department are accommodated.

key Responsibilities

  • Responsible for completing and responding to various item change requests, which include item updates, price changes, and image uploads.
  • Daily monitoring, adjusting, and closing of orders with missing item maintenance within NetSuite by filling in appropriate missing information.
  • Ad hoc project reporting and tasks as they arise
  • Assist with vendor correspondence regarding out-of-stock items and discontinued products.
  • Receive item information from sales teams, verify the information is filled out in its entirety, and if complete, add it to new or existing Web stores. However, if incomplete information is received, report it to the appropriate sales teams for clarification.
  • Monitor websites to remove out-of-stock items and discounted products and verify any website description add-ons that are no longer valid, along with partnering with IT as needed.
  • Responsible for PO follow-up for all programs.
  • Help with the setup of new items and updates on existing items through the backend/e-pay webstore sites, and ensure all correct information and images are added as sales requests.
  • Assigning Decoration numbers to existing and new items in NetSuite.
  • Additional tasks may be delegated by the Purchasing Manager, and tasks are subject to change based on the daily workflow and needs of the department.

Requirements

  • Previous experience in the promotional product industry is a plus but not required.
  • Excellent verbal and written communication skills.
  • Must have critical thinking ability and be able to analyze all aspects of an order.
  • Strong initiative, confidence and the ability to ask questions as needed.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally and courteously with both internal and external customers.
  • Detail-oriented, with the ability to effectively prioritize multiple projects.
  • Excellent organizational skills and attention to detail, with the ability to prioritize multiple projects throughout the day.
  • Ability to work calmly under pressure.
  • Proficient in MS Office Suite and Adobe Acrobat, with some experience in MS Excel.
